Planning an Outdoor Wedding? Read This First

Dreaming of saying "I do" surrounded by mountain or lake views, open skies, and beautiful scenery? Outdoor weddings can be absolutely magical, but they also come with a few extra things to consider.

If you want your outdoor wedding to feel as amazing as it looks (because guest experience matters), the secret isn't just beautiful views and gorgeous decor ... it's thoughtful planning behind the scenes. As an experienced wedding planner who's had to deal with rain, wind, heat, cold, snow, ice and more wind (sometimes all in the same day!), we've learned a few things about mitigating the elements at outdoor weddings. Keep reading for some of our top outdoor wedding planning tips!

Always Have a Backup Plan

Let's start with the big one. No matter how perfect the forecast looks, every outdoor wedding needs a contingency plan. Whether that's a tent, covered patio, indoor venue space, or another alternative, having a solid backup plan allows everyone (including you!) to relax.

Prioritize Guest Comfort

One of our favourite reminders to couples is this: Luxury isn't just about how a wedding looks. It's about how it feels. Think about the experience from your guests' perspective. Will they be sitting in direct sun for 30 minutes? Will temperatures cool significantly after sunset? Is there shade available during cocktail hour? Small touches can make a huge difference. Depending on your venue and season, consider:

  • Shade structures or umbrellas

  • Fans or cooling stations

  • Blankets for evening temperatures

  • Patio heaters

  • Sunscreen stations

  • Water and hydration stations

  • Comfortable seating

Pay Attention to the Sun

The sun affects far more than just temperature. We've seen ceremonies where guests spent the entire time squinting into direct sunlight, and others where the lighting created challenging conditions for photography. When planning your ceremony, consider sunset timing, ceremony start time, direction guests will be facing and natural shade opportunities. Your guests (and photographer) will thank you!

Think Beyond the Pretty View

A beautiful field or mountain backdrop may photograph beautifully, but don't forget to think about what's under your guests' feet. Grass, gravel, sand, uneven terrain, and slopes can impact:

  • Chair placement

  • Accessibility

  • Elderly guests

  • Strollers and wheelchairs

  • Footwear choices

Practical considerations may not be glamorous, but they're essential for creating a seamless guest experience.

Invest in Quality Audio

One of the most common outdoor wedding mistakes? Guests can't hear the ceremony. Open spaces and wind can make audio challenging, even in smaller settings. If guests can't hear your vows, they're missing one of the most meaningful parts of the day. Professional sound equipment and someone who knows how to run it are worth every penny.

Plan for Lighting

Outdoor weddings often transition from bright sunshine to sunset to complete darkness.

Without proper lighting, beautiful spaces can quickly become difficult to navigate. So consider what lighting you'll need for dining areas, dance floors, pathways, parking, washrooms and outdoor seating areas. The bonus? Great lighting doesn't just improve safety but it also creates incredible ambiance.

Expect Wind

If you've planned an outdoor wedding before, you know wind has a mind of its own and can impact, signage, florals, candles, table settings, ceremony arches and your hair. The best outdoor designs work with the environment rather than fighting against it. Your florist and planner can recommend design elements that are both beautiful and practical.

Don't Forget About Washrooms

It's not the most glamorous topic, but it's an important one. If your venue doesn't have permanent washroom facilities, luxury restroom trailers are a worthwhile investment that significantly improves guest comfort. Trust us ... your guests will notice.

Consider Transportation and Parking

Getting guests to and from the venue should feel easy and effortless, so you'll need to consider parking, shuttle services, directional signage, accessibility and ride share availability.

Plan for Power Requirements

Outdoor venues often require additional power sources for catering, bars, DJs, lighting, photo booths and rental equipment. Generators and power distribution aren't exciting topics, but they're critical to a successful event.

Have a Bug Management Strategy

Depending on the location and season, insects can quickly become a distraction. A few simple solutions can help:

  • Citronella candles

  • Bug repellent stations

  • Strategic ceremony timing

  • Fan placement

  • Professional treatment if required

Don't Overlook Event Flow

This is one of the biggest factors that separates a wedding that simply looks beautiful from one that feels exceptional. Outdoor weddings often involve guests moving between multiple locations throughout the day. Guests should always know where they're going and what happens next. Think about:

  • Clear signage

  • Easy pathways

  • Places to sit

  • Shade between transitions

  • Drinks available at the right times

  • Minimizing long waits and downtime

Work With Experienced Outdoor Wedding Vendors

Outdoor weddings come with unique challenges that aren't always obvious until you've experienced them firsthand. Having a team that regularly works outdoors means they'll anticipate issues before they become problems. From a planner who's thought about a plan B, C and D and photographers who understand changing light conditions to caterers who know how to serve a meal in remote locations, experience matters.

Embrace the Magic of Being Outdoors

Here's the truth: you can't control every element of an outdoor wedding. And that's okay. A gentle breeze, changing clouds, a dramatic sunset, or an unexpected rain shower often become some of the most memorable parts of the day. The best outdoor weddings embrace the environment instead of trying to control it.

Final Thoughts

At the end of the day, successful outdoor weddings come down to thoughtful planning. When you've considered guest comfort, logistics, weather contingencies, and event flow, you're free to do what matters most: be fully present and enjoy your wedding day.

Because the most memorable outdoor weddings aren't the ones where everything goes perfectly. They're the ones where guests feel comfortable, relaxed, and completely immersed in the experience, no matter what Mother Nature decides to do.
